How much revenue does a clinic lose to missed enquiries?

Short answer
Work it out rather than guess: multiply monthly enquiries by the share that never get a reply in time, then by your enquiry-to-booking rate, then by average treatment value and margin. Add unfilled cancelled slots. Most clinics find the number is dominated by response delay, not by pricing.

The formula
Missed enquiry value = monthly enquiries × share missed or answered too late × enquiry-to-booking rate × average treatment value × margin.
Unfilled cancellation value = monthly cancellations × share left empty × average treatment value × margin.
Add the two. Every input is yours, which is the point — an industry average tells you nothing about your clinic.
Where the inputs come from
- Monthly enquiries: count every first-contact message and call, not only the ones your team logged.
- Share missed: look at how many arrived outside working hours, and how many went unanswered for more than an hour.
- Enquiry-to-booking rate: bookings divided by total enquiries, not divided by the enquiries you replied to — that flatters the number.
- Treatment value: your realistic average, not your headline package.
- Margin: after consumables, clinician time and room cost.
Sanity-checking the result
- If the number looks implausibly large, your enquiry count probably includes duplicates or existing patients.
- If it looks tiny, check whether after-hours enquiries are being counted at all — many clinics never see them.
- Cap the treatment value you use; one exceptional case should not drive the whole estimate.
Then decide what is worth fixing
Once you have the split, the priority is usually obvious: if most of the loss is response delay, cover the hours. If it is no-shows, introduce deposits. If it is empty slots, build a waitlist process.
